Join our Ministry Team!We are prayerfully seeking a part-time Administrative Assistant. The Administrative Assistant is responsible for providing administrative support to the pastoral team. They will oversee communications, manage all activities of the church office, and perform administrative responsibilities related to the church’s operation.
This is a part-time hourly (non-exempt) position averaging approximately 10-12 hours per week, with up to 15 hours in special situations as approved by the Pastor. Other hours may be assigned as necessary for office coverage and special events. Hours include a twice a month staff meeting and specified office hours throughout the week. Position Type/ Expected Hours of Work
This is a part-time hourly position approximately 10-12 hours weekly, with up to 15 hours as approved by the Senior Pastor.
Qualifications:
1. Office Administration
- Direct and oversee the general office administration of the church.
- Monitor and maintain office supplies and equipment.
- Develop and maintain organizational procedures and systems for the church office (i.e. filing, staff/volunteer, facilities scheduling, etc.).
- Maintain office files (paper and electronic): keep all files in an orderly manner and prepare filing system directions for other users.
- Coordinate facility and equipment inquiries (i.e.facility-use, weddings, transportation-use, etc.).
- Manage and maintain accurate records for the church database (i.e. visitors, new members, baptisms, births, deaths, address changes, weddings, mailing lists, deacon care teams, etc.).
- Participate in staff meetings.
- Perform other duties as assigned by the Pastors.
2. Communications
- Direct, recruit, train and lead volunteers for the Communication Team. Oversee all communication avenues of the church including the church website, social media accounts, church sign, bulletin boards, newsletter, printed materials, etc.
- Manage the church website and church-wide correspondence.
- Maintain the church calendar.
- Prepare weekly order of service for Sunday services.
- Generate and prepare the weekly bulletin and other bulletins/inserts as needed (i.e. special events, funerals, etc.).
- Maintain printed materials (i.e .invitations, tracts, handouts, fliers, printed calendars, etc.).
3. Financial Administration:
- Assist the Church Treasurer and Financial Secretary in keeping accurate church records.
- Reconcile bank accounts and generate reports.

Qualifications:
- Administrative Assistant or office experience: three years (preferred)
- Self-starter, good at multi-tasking and prioritizing projects
- Strong technology, organizational and administrative skill
- Demonstrate a high level of trust, discretion, and confidentiality
- Excellent verbal written communication skills
- Ability to set healthy boundaries
- Possess a professional appearance and demeanor
- Proficiency in Microsoft Office Suite programs (Word, Excel, PowerPoint, Publisher) and aptitude in learning new software programs
- QuickBooks experience (preferred)
- Basic design skills (preferred)
